Private AI Assistants for Your Business
Your team asks the same questions every week: where is the policy on that, what did we quote last time, how do we handle this situation. A private AI assistant answers those questions instantly, using your own company documents — not generic internet knowledge. AI Alberta builds these assistants for businesses in Edmonton, Calgary, and across Alberta.
What Is RAG?
RAG stands for retrieval-augmented generation. In plain terms, it is the technique behind a private AI assistant: when someone asks a question, the system first searches your company documents for the relevant passages, then uses them to write an accurate answer. The AI does not rely on its training data or guess — it reads your manuals, policies, and files first. That is what makes the answers specific to your business instead of generic.
This is different from asking a public chatbot about your business. A public chatbot does not know your price list, your procedures, or your client history. A RAG assistant does, because it checks your documents every single time before answering.
How a Private Knowledge Assistant Works
- Connect your documents. We link the assistant to the files your team already uses — SharePoint libraries, shared drives, PDFs, manuals, policy documents, past proposals. Whatever format they are in.
- The system indexes them. Your documents are organized into a searchable knowledge base. When a question comes in, the assistant pulls the most relevant passages — the same way a good employee would check the manual first.
- Your team asks in plain English. No special syntax, no training course. "What is our overtime policy?" or "What did we quote Acme for last spring?"
- Answers come with sources. Every answer points back to the document it came from, so anyone can verify it. If the answer is not in your documents, the assistant says so instead of guessing.
Because it is built on custom AI development rather than a one-size template, the assistant can also take action — draft the email, create the ticket, or summarize the file — not just answer.
Can Company Data Remain Private?
Yes — and this is the whole point of building private instead of using a public tool. Your assistant runs on your data, in systems you control. Staff only ever see answers drawn from documents they already have permission to access; the assistant does not grant anyone new access to anything.
An honest note: we will not claim security certifications we do not hold, and you should be skeptical of any vendor who waves certificates at you without specifics. What we will do is walk through exactly where your data lives, who can access it, and how it is handled in your setup — in plain language, before you commit to anything. If your industry has specific privacy obligations, tell us during the consultation and we will design around them.
What Teams Use Them For
Internal Q&A. Policies, procedures, benefits, IT help — the questions that interrupt your senior staff ten times a day get answered instantly, with a link to the source document.
Document search. Stop digging through shared drives. Ask for the clause, the spec, or the past quote and get the exact passage, not a folder of maybe-relevant files.
Onboarding help. New hires get a patient expert available around the clock. They ask the "silly" questions to the assistant instead of interrupting a colleague — and get consistent answers.
Proposal and RFP support. Draft responses grounded in your actual past work and capabilities, with every claim traceable to a real document.
These use cases are especially valuable for law firms drowning in documents, professional services firms with deep institutional knowledge, and any small business where the owner is currently the entire help desk.
