Short answer: An AI agent is software that works toward a goal on its own: it plans steps, uses tools like your email, calendar, or CRM, checks its results, and adjusts until the job is done. When an agent makes sense — and when it doesn't
An agent earns its keep when the work needs judgement: qualifying, prioritizing, drafting, deciding what happens next. If the process is truly fixed — "every Friday, email this report to these people" — plain automation is cheaper, faster to build, and easier to maintain. A good rule: start with automation for the fixed parts, and add an agent only where decisions are being made by hand today.
